Key Responsibilities:
- Leave Administration & Employee Support
- Managed the end-to-end leave administration lifecycle, from initial employee notification through return-to-work, ensuring timely, accurate, and compliant processing.
- Served as the primary point of contact for all leave-of-absence inquiries via phone, email, HR case management systems, and service tickets.
- Coordinated and administered FMLA, personal leave, military leave, state and local leaves, ADA accommodations, and caregiver leave in partnership with third-party leave administrators.
- Maintained ongoing communication with external leave vendors to track leave status, validate earnings for disability calculations, resolve discrepancies, and address status changes.
- Coordinated intermittent and reduced-schedule leaves with managers and HR Business Partners, identifying opportunities for ADA or alternative workplace accommodations.
- Partnered with employees and managers to align paid leave usage (PTO, mandated paid leave, and other paid programs) with approved leave plans.
- Collaborated with Employee Health and Safety to ensure Workers’ Compensation status, pay, and documentation remained accurate and current.
- Time Off Policy & Program Management
- Reviewed, interpreted, and supported implementation of new and revised time off policies, ensuring alignment with organizational guidelines and legal requirements.
- Created, maintained, and updated SOPs, process maps, and employee-facing knowledge resources for time off programs, including FTO, vacation, volunteer time off, and paid safe and sick leave.
- Provided Tier 2 support for time off and absence-related inquiries, resolving complex cases and escalating issues when appropriate.
- HRIS, Data Integrity & Compliance
- Maintained HR data integrity by accurately entering, auditing, and updating employee leave and time off information within HR systems.
- Partnered with HRIS teams and leave vendors to ensure leave plans, policy updates, and regulatory requirements were properly configured, tested, and integrated within Workday.
- Participated in global HRIS initiatives, including M&A onboarding, system harmonization, and policy alignment efforts.
- Ensured compliance with federal, state, and local leave regulations, internal policies, and audit requirements.
- Supported time off and leave audits, validating documentation, pay accuracy, and regulatory adherence.
- Preserved strict confidentiality of employee medical records and sensitive documentation in accordance with data privacy and governance standards.
