Key Responsibilities:
- Working Hours: 8a to 5p, possible OT if work demands that are due need to be completed.
- Provides administrative and staff support to an organizational unit.
- Schedules appointments and travel arrangements, gives information to callers, and takes dictation.
- Composes memos, transcribes notes, and researches and creates presentations.
- Administers programs, projects, and/or processes specific to the operating unit served.
- Communicates and interprets administrative and operating policies and procedures.
- Assists in the preparation and coordination of records, statistics, and reports regarding operations, etc.
- Serves as administrative liaison with others internally and outside the organization regarding issues related to purchasing, facilities, and operations.
- May use applications and other information systems for reporting and inquiry.
- May often work with minimal supervision.
- Health Plan is a dynamic high paced environment that needs an administrative assistant to support several Vice presidents and occasionally support the CEO.
- Key functions include, but are not limited to, managing calendars, drafting minutes for meetings, compiling daily reporting for operations, submitting expense reporting, assisting with development of documents, presentations, minor reports.
- This person would also work with others in the organization to execute minor projects, as needed.
- Expected to be on site from 8am to 5pm. Some OT may be required depending on deliverable needs and deadlines.
- This person will be an integral support person to several executives and enable them in strategy execution and performance.
- This person will be in an office setting that is mostly business casual/jeans allowed.
- Prefer a professional that wants to grow and develop in role, or beyond role.
- Key Skills: Executive assistant, or Senior administrative assistant, Admin assistant.
- Must have previous administrative assistant experience, have a strong desire to support and exceed, have be flexible in changing priorities, must be organized to manage many demands at one time, must have experience using office suite of applications.
- Logical and efficient. Willing and able to ask for help/guidance when asks are ambiguous.
- This person will need to manage more than 6 executive calendars and also provide day to day operational support, as demands arise.
- This person will also need to back up the CEO's assistant when that individual is out office.
- Required to be in office 95 to 100% of time.
- Not meeting the requirements, job hopping/work instability, short term employment (excluding contract work).
- Able to work in a high demand environment and able to track tasks and complete tasks.
- Able to perform functions in Microsoft Office suite of applications,
- Able to manage several items at one time and be able to follow-up and deliver on demands.
- Ability to think ahead and anticipate next steps (i.e. scheduling in person meeting – do we need food/etc ordered? Presentation developed, etc).
- Must be familiar with concepts, practices, and procedures.
- Candidate needs to have experience with working in a fast-paced environment and be able to manage multiple requests and projects simultaneously.
