Key Responsibilities:
- Executive Support & Coordination
- Manage calendars, email inboxes, call routing, and schedules for three EMG leaders.
- Serve as gatekeeper and time manager—prioritize requests, provide effective challenges, and ensure leaders are fully prepared for meetings.
- Draft and edit correspondence, internal communications, and presentation materials in compliance with the client's standards.
- Meeting & Event Management
- Schedule, coordinate, and prepare agendas for internal and external meetings.
- Take meeting minutes, track followups, and ensure alignment of attendees and materials.
- Plan and manage events and engagements, including logistics for visitors and external partners.
- Operational & Administrative Oversight
- Monitor intranet pages, messaging platforms, and internal deadlines (e.g., LMS training, check-ins).
- Maintain records, organizational charts, distribution lists, and filing systems.
- Manage procurement of office supplies and maintain budget-conscious inventory.
- Onboarding & Employee Experience
- Support onboarding of new EMG members and staff; update distribution lists and org charts.
- Coordinate workspace logistics and facilitate a smooth transition experience.
- Reinforce team culture by coordinating 1:1s, skip levels, staff meetings, and recognition moments.
- Travel & Expense Management
- Arrange complex travel itineraries and submit accurate expense reports via Concur.
- Ensure compliance with the travel and budget policies.
- Risk & Compliance
- Ensure business activities adhere to all risk and compliance requirements and protocols.
- Technology Tools Used
- Microsoft Office (Outlook, PowerPoint, Word, Excel): Core for scheduling, communications, and document preparation.
- Slack: Used for real-time internal communication and broad team messaging.
- Concur: Critical for timely and accurate travel booking and expense reporting.
- Key Skills:Executive Assistant; Managing complex Calendars and Executive Inboxes; Meeting & Event Management; Travel & Expense Management.
- High School Diploma or GED required.
- 4+ years of Executive Assistant experience supporting VP-level or higher.
- 4+ years managing complex calendars and executive inboxes.
- 3+ years coordinating meetings/events and handling logistics.
- Strong communication (written and verbal) and organizational skills.
- Proven ability to build relationships across all levels of an organization.
- Advanced proficiency with Microsoft Office, Adobe, and Publisher.
- Demonstrated ability to prioritize, solve problems, and adapt quickly to change.
- This is an on-site position located at the Phoenix Campus (Monday–Friday).
- Requires strong judgment, confidentiality, and the ability to navigate ambiguity with professionalism.
